Taking Attendance & Session Notes

Logging Attendance

Accurate attendance is crucial for maintaining accurate billing and payroll updates. As a policy, students must inform 24 hours in advance to avoid being charged. We do not offer make-up credits.

  1. Calendar

    • Navigate to the "Calendar" menu.

    • Click on the lesson you wish to take attendance for.

    • Select the "Attendance" button from the pop-up window.

    • Record attendance and lesson notes as needed.

    • Click "Save" if you would like to save attendance and stay on the same page, or "Save & Exit" to return to the "Calendar" menu.

Attendance Statuses

  1. Present and Late

    • Lesson is Billable: Student attended; charge applies.

    • Late: Identical to "Present," but for tracking late arrivals.

  2. Absent

    • Notice Given (Not Billable): Student informed 24 hours in advance; no charge.

    • Absence is Billable: No-show or late cancellation without 24-hour notice; charge applies.

  3. Tutor Cancelled

    • Not Billable: Tutor absent; no charge.

Use these guidelines to ensure smooth attendance tracking and accurate billing.

Session Notes

Session notes are essential tools in our process. They serve multiple important functions, including tracking progress, communicating with parents, and supporting accurate billing.

Session notes are included in the therapeutic hour pay, with 50 minutes dedicated to direct instruction and 10 minutes allocated for note-taking and documentation.

  • Data-Driven: Include specific metrics and performance data to track progress accurately.

  • Specific: Provide detailed descriptions of activities and outcomes.

  • Objective: Focus on observable behaviors and outcomes rather than subjective opinions.

  • Action-Oriented: Highlight next steps and strategies for improvement.
